As an Institutional RFP Associate, you will play a critical role in crafting high-impact, strategic responses to RFPs, RFIs, DDQs, and security questionnaires. This position requires close collaboration with cross-functional partners, including Sales, Product, Security, Legal and other business units, to deliver comprehensive and timely responses to a diverse range of institutional client inquiries. Operating in a fast-paced, deadline-driven environment, you will ensure the delivery of high-quality outputs that align with client expectations and business objectives, ultimately contributing to winning big mandates for the organization.

What you’ll be doing (ie. job duties):

    • Collaborate with XFN stakeholders to efficiently respond to detailed institutional client questionnaires, such as RFPs and DDQs, in a fast-paced, deadline-driven environment.
    • Develop comprehensive, accurate, and persuasive responses by leveraging approved marketing and sales materials, ensuring alignment with client needs and organizational goals.
    • Actively manage and utilize a centralized database and attachment repository to streamline response creation, ensuring accuracy and consistency across all deliverables.
    • Lead the project management of RFP/RFI responses and business pursuits, including tracking the pipeline of institutional outreach and ensuring timely delivery of high-quality outputs.
    • Oversee the onboarding of complex and detailed RFIs/DDQs into the storage database, ensuring unique inquiries, corresponding responses, and support materials are accurately tracked and maintained.
    • Analyze large volumes of content and input from SMEs to support critical business development initiatives and pursuits.
    • Rapidly match client questions and topics to the most relevant responses and information, balancing brevity, clarity, and precision to maximize client engagement and comprehension.
    • Leverage AI/ML tools to enhance efficiency in creating, refining, and summarizing written content, ensuring high-quality and consistent responses while reducing turnaround times.
    • Continuously explore and implement AI-driven solutions to optimize workflows, improve content accuracy, and support the scalability of institutional client response processes.

What we look for in you (ie. job requirements):

    • BA / BS degree or equivalent practical experience
    • 3+ years of experience in RFP/DDQs, management consulting, or a similar client-facing, high-stakes environment.
    • Exceptional writing and communication skills, with the ability to convey complex ideas clearly and concisely, paired with a meticulous, detail-oriented mindset.
    • Strong analytical, project management, and problem-solving abilities, coupled with excellent interpersonal skills to collaborate effectively across teams.
